Use this before buying another AI tool. If a workflow fails these questions, automate later. Fix the process first.

1. Pick one workflow

  1. What recurring task drains the most owner/team time every week?
  2. How many hours per week does it consume?
  3. What happens if this workflow is done badly?

2. Check if it is automation-ready

  1. Is the input predictable enough for a person to explain in one paragraph?
  2. Is there a clear definition of “done”?
  3. Can a junior person follow the process today without asking you five questions?
  4. Are the edge cases known, or are they discovered by surprise every week?

3. Check the business case

  1. Does fixing it save time, increase revenue, reduce mistakes, or improve response speed?
  2. What is one measurable number that should improve in 30 days?
  3. What review gate prevents AI from creating expensive mistakes?

4. Choose the next move

  1. If the process is messy, what must be standardized before AI touches it?
  2. If the process is clear, what is the smallest AI assist worth testing this month?

Scoring

0–4 yes answers: fix the process manually first.

5–8 yes answers: test one narrow AI assist with human review.

9–12 yes answers: this is a strong candidate for an AI workflow.
